Conditions of hire
- In these conditions of hire:
- ‘you’ means the Girlguiding unit, business or organisation named in the booking enquiry;
- ‘we’ and ‘us’ refers to Yeovil Division Guide Headquarters Committee.
- You must agree to hire Yeovil Guide HQ with us. There is no hire agreement until our authorised representative has confirmed the booking. An automated response does not mean your booking is agreed.
- We reserve the right to refuse or retract permission for hire of Yeovil Guide HQ. This can be without notice due to unforeseen circumstances.
- You must not conduct illegal activities within or around Yeovil Guide HQ. These include, but are not limited to, activities that break laws or regulations relating to trading, gambling, advertising and discrimination.
- You (or your authorised representative) must be at Yeovil Guide HQ for the duration of your hire. You are responsible for the safety of people and equipment brought into Yeovil Guide HQ. We do not accept liability for damage to equipment or property which occurs in Yeovil Guide HQ.
- You must make sure that there is no damage, neglect or abuse of the hall or equipment provided. You must also make sure that the hall is left clean and tidy. You must remove all rubbish from the premises at the end of the hire. You must report any defects to us as soon as possible.
- The return of your deposit depends on the result of our inspection of Yeovil Guide HQ. It must be left in good order, undamaged and with all rubbish removed. If you do not do this, you are responsible for reasonable cleaning and repair costs. We will deduct reasonable cleaning and repair costs from your deposit. If it is not enough to cover them, we will recover these costs by other means.
- You must pay the appropriate fees and deposits in advance or at the time of the collection of keys. A deposit of £50 is required for overnight Girlguiding activities. A deposit of £25 (or more if required by the authorised representative of the Committee) for other bookings.
- If you wish to cancel the booking these fees apply:
- Over 30 days – no charge
- 30-10 days – Ā£10 to be charged
- 10 days or less – full fee to be charged
- You must not have more than 75 people at Yeovil Guide HQ.
- We use personal data for the purposes of managing and running Yeovil Guide HQ, its bookings and finances. We may keep data for up to seven years for accounts purposes and longer where required by insurers.
